Express Employment Professionals is currently recruiting for a luxury community in Naples, FL who is seeking a new Executive Assistant to join their team!
In this highly visible role, you will support and report directly to the President. The position provides support for board and committee meetings; including special projects, appointments, correspondence, organizational document management, records control and coordination with several internal departments.
You’ll be responsible for executive administrative functions and communications, including presentations, various types of written correspondence, external and internal communications, scheduling, and coordinating various meetings and events the President.
Overall Responsibilities
- Prepare and manage all documents and details related to meetings; both in-person and virtual meetings
- Maintain calendars, schedule appointments and meeting rooms; including proactively anticipating scheduling needs
- Maintain and organize official records related to Board, Committees and Organizational documents; both physical and electronic formats
- Manage, coordinate, and organize employee meetings, Board meetings, and committee meetings
- Coordinate meeting set-ups and room scheduling
- Communicate with members on behalf of the President to address questions, concerns, schedules, meetings, etc.
- Assimilate information from multiple sources for agendas and meeting packets
- Manage Board software program, documents, and access
- Coordinate special projects, events, and activities
- Assist with Record Retention fulfillment requests
- Prepare timely and appropriate correspondences
- Maintain regular attendance at Board meetings and committee meetings as needed
- Conduct research, compile data and prepare documents for consideration and presentation by executives, committees and board of directors
Education
- Minimum high school diploma/GED or equivalent. Associate or bachelor’s degree preferred or any combination of education, training, and 5 years related administrative experience and a service background.
- CAM preferred, but not required
Skills & Experience
- 3—5 years of experience working as office administrator, executive assistant or with executive level staff
- Background in Hospitality, Club or Community industry highly preferred, but not required
- Previous experience in a similar role preferred, but not required
- Knowledge of Microsoft Office and ability to learn various software tools (Boardable, PowerPoint, Sharepoint, Word, Excel, etc.)
- Must have a valid Florida driver’s license and reliable transportation required to attend off-site meetings and functions.
- Must be able to lift up to 25 pounds and occasionally lift up to 40 pounds
