Payroll Specialist
Compensation: $50,000 – $65,000 annually
Schedule: Monday – Friday, 8:30 AM – 5:00 PM

Overview
We are seeking a skilled and detail-oriented Payroll Specialist to join our team. This role is responsible for the daily operations of payroll and benefits administration while ensuring compliance with all applicable laws and organizational policies. Reporting directly to the Human Resources Director, the Payroll Specialist plays a key role in maintaining accurate employee records, payroll processing, and supporting HR initiatives.


Key Responsibilities

Payroll Administration

  • Collect, analyze, prepare, and input payroll data.

  • Produce accurate and timely payroll.

  • Ensure compliance with all state and federal wage and hour laws.

  • Advise supervisors and managers on payroll errors or omissions.

  • Calculate and process garnishments, deductions, and mileage reimbursements.

  • Oversee processing of 403B retirement accounts.

  • Maintain accurate employee PTO balances and adjustments.

  • Verify benefit deduction changes during payroll cycles.

  • Prepare payroll and HRIS reports following each payroll.

  • Respond to payroll inquiries promptly.

  • Conduct audits and reconciliations as needed.

Human Resources Support

  • Administer employee recognition programs.

  • Maintain personnel and medical files in compliance with laws and regulations.

  • Guide new hires through onboarding, background checks, and compliance documentation.

  • Perform exclusion checks and volunteer background screenings.

  • Maintain I-9 compliance and credentialing requirements.

  • Reconcile vendor invoices.

  • Conduct employment verifications and periodic HR/payroll record audits.

  • Assist with annual and regulatory audits.

  • Support HR initiatives and other special projects as needed.


Qualifications

  • Bachelor’s degree or equivalent experience.

  • 3–5 years of HR and/or payroll experience, or equivalent combination of education and experience.

  • Valid Florida driver’s license.

  • Professional certification in Payroll or HR (PHR, FPC, CPP) preferred.
