Executive Assistant – Human Resources Department
Naples, FL – Luxury Community

Pay: $30/hr

Hours: Mon-Fri 8:30am-5pm

 

Duration: up to 3months

 

Express Employment Professionals is currently recruiting for a luxury community in Naples, FL, who is seeking an Executive Assistant to join their Human Resources Department for a 3 month contract role.

 

In this highly visible role, you will support and report directly to the Human Resources Manager and leadership team. The position provides support for HR programs and initiatives; including employee communications, special projects, compliance documentation, organizational record management, onboarding coordination, and cross-departmental support.

 

You’ll be responsible for administrative functions and HR-related communications, including reports, correspondence, scheduling, and coordinating various meetings, trainings, and employee engagement activities.

 

Overall Responsibilities

  • Prepare and manage all HR documents and files related to employee relations, compliance, and onboarding
  • Maintain calendars, schedule appointments, interviews, training sessions, and employee meetings; proactively anticipating scheduling needs
  • Maintain and organize official HR records and personnel files in both physical and electronic formats, ensuring confidentiality and compliance with regulations
  • Assist in coordinating employee events, training programs, and HR-related meetings
  • Support new hire onboarding, orientation, and paperwork processing
  • Prepare timely and professional correspondence to employees and management
  • Assist with HR reporting, tracking employee data, and compiling information for audits and compliance reviews
  • Coordinate special HR projects and initiatives as directed by the HR Director
  • Assist with benefits administration support, record retention requests, and employee communications
  • Research, compile data, and prepare documents or presentations for consideration by HR leadership

Education

  • Minimum high school diploma/GED or equivalent; Associate or bachelor’s degree preferred
  • HR-related coursework or certification (PHR, SHRM-CP) a plus

Skills & Experience

  • 3–5 years of experience working as an executive assistant, office administrator, or HR support role
  • Prior experience supporting a Human Resources Department or working in HR administration highly preferred
  • Knowledge of Microsoft Office and ability to learn various HR/organizational software (HRIS, PowerPoint, SharePoint, Word, Excel, etc.)
  • Must maintain confidentiality, professionalism, and strong attention to detail in handling sensitive employee information
  • Strong organizational skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Valid Florida driver’s license and reliable transportation required to attend occasional off-site meetings or events
