Scheduling Coordinator
Position Summary:
Express Employment Professionals is currently recruiting for a Scheduling Coordinator for a local non-profit organization in Fort Myers. This role involves recruiting, engaging, retaining, and developing volunteers while providing an exceptional experience that reflects our organization's values.
Essential Duties and Responsibilities
- Actively recruit and place volunteers for a range of specific roles and programs including field data collection, community outreach, food distribution, assistance at mobile pantries, support for child & senior programs, and support for special events.
- Coordinate and conduct volunteer screening, orientation sessions, background checks, and onboarding to ensure all new volunteers are properly prepared and aligned with organizational standards and familiar with program guidelines, safety protocols, organizational expectations, and goals.
- Develop and maintain positive relationships with volunteers, ensuring a meaningful and productive experience that aligns with the company's mission.
- Educate volunteers on the organization's mission, programs, needs, and opportunities, fostering a deeper understanding and commitment to our cause.
- Collaborate with Programs and Operations managers and other staff to coordinate and organize volunteer activities for special events and other initiatives. Ensure volunteer needs are met at least 48 hours before events.
- Coordinate volunteer communications and provide support for outbound volunteer scheduling and sign-ups.
- Utilize the Volgistics Volunteer Management System to organize assignments, schedule groups, and coordinate special events. Maintain accurate records of volunteer hours and activities.
- Maintain confidentiality of all volunteer information and manage all records accurately and efficiently.
- Develop and implement a meaningful volunteer recognition program to acknowledge volunteer contributions and enhance engagement and retention of volunteers. Support fundraising and community events as needed, with flexibility to work on weekends and evenings as needed.
- Serve as a “second responder” in the event of a community emergency or disaster, supporting emergency response efforts. Flexibility to adapt to various roles as needed.
Specific to Position:
- Business, Administration, or relevant degree preferred, but not required.
- Minimum of 3-5 years of experience in volunteer coordination or a supervisory role.
- ServSafe certification required; experience with forklifts, electric pallet jacks, and working in a warehouse setting is preferred.

Working Conditions:
- Ability to perform physical labor as needed.
- Position involves both office and warehouse environments, requiring flexibility to support food drives, food sorting activities, and long workdays during special events.
- Must be able to work in hot, humid, and occasionally noisy conditions, with frequent walking on concrete surfaces.
- Exposure to dust, noise, and motorized vehicle traffic is expected.
- Requires the ability to lift, bend, stoop, pull, pick up, and move objects weighing up to 30-50 pounds.
- Must have reliable transportation to attend events and community activities.
- Must be able to work extended hours, including weekends, particularly during special events or emergencies.
