Job Full Description
OVERALL JOB RESPONSIBILITY
This full-time, hourly position will work a five-day schedule, defined as Monday through Friday, generally between the hours of 8:30 a.m. to 5:30 p.m. The hours and workdays will vary from time to time depending on the workload and tax deadlines. The employee is entitled to one-hour (unpaid) for lunch and two-15-minute (paid) breaks.
Additional work hours will be required on evenings and weekends during tax season (normally February through April) and at other times depending on deadlines and the amount and nature of work outstanding. The incumbent will be required to work overtime as approved by immediate supervisor. This position will provide administrative support primarily for tax services as well as other engagements as needed and general office support.
POSITION RESPONSIBILITIES
- Assembles client tax returns and other deliverables throughout the year, ensuring quality and timeliness.
- Provides technical and clerical support to staff and shareholders with regards to mailing, labels, copies, scans, etc.
- Produces route sheets for projects as requested.
- Handles new client set up. Maintain and update client database in Practice CS and UltraTax as needed.
- Generates and manages client files, including client engagement letters and correspondence, maintaining client confidentiality.
- Provides scheduling and administrative support as directed. Serve as point of contact for designated shareholders/managers/team members.
- Prints bi-monthly WIP reports (work-in-process) and distributes them to shareholders and others.
- Coordinates internal CPE events and maintains the recordkeeping.
- Prepare billing invoices as requested.
- Provides front desk relief as scheduled or needed.
- Posts mail and picks up when needed.
- Able to perform and complete project-based work as needed.
- Support training of administrative staff
- Performs other duties as assigned.
POSITION SPECIFICATIONS
Knowledge and Skills: Position requires advanced administrative and computer skills. Ability to operate PC compatible computers. Advanced skill level using Microsoft Word, Excel and PowerPoint and other professional software, including File Cabinet, UltraTax and Practice CS. Excellent mathematical, grammar and composition skills. Excellent oral communication skills with the public and with co-workers. Familiar with appropriate styles of office and professional correspondence and forms and related materials. Operates copy machines, facsimile machines, and 10-key calculator. Ability to file documents alphabetically or numerically. Ability to type 60-70 WPM/40-50 KPM minimums. Strong ability to read and interpret written word and understand verbal instructions as related to any duties assigned.
Problem Solving and Decision Making: Work is diversified and involved. Requires discretion and judgment in making decisions, which generally are based upon precedent or standard operating policies and procedures. Involves routine decisions, attention to detail and production of a quality work product.
WORKING CONDITIONS
Physical Demands: Primarily sedentary work with mobility required and some lifting, carrying, pushing and pulling (approximately 10-15 lbs).
Work Environment: Duties are performed in a temperature controlled, non-smoking office environment. Must be able to work under deadlines as required and expect considerable disruption while performing work assignments. On occasion, may be required to travel on behalf of the Firm.
