Job Title: Accounts Payable Associate

Hours: 8:00 - 4:30 Monday - Friday

Salary: $22 - $24/hour DOE

 

Position Summary:
The Accounts Payable Associate plays a key role in ensuring the accuracy and efficiency of our financial operations. This position is responsible for processing company expenses, managing vendor relationships, and maintaining precise financial records. The ideal candidate is detail-oriented, organized, and proactive in resolving discrepancies to support smooth day-to-day business operations.


Key Responsibilities:

  • Invoice Management: Collect, review, and process vendor invoices (mail or email), ensuring accuracy and timely approvals from appropriate leadership.

  • Payment Processing: Prepare and issue vendor payments via credit card, ACH, or checks while strategically managing payment timing to maintain cash flow and avoid late fees.

  • Vendor Relations: Build and maintain strong relationships with vendors by ensuring timely communication and prompt resolution of any invoice or payment discrepancies.

  • Financial Reconciliation:

    • Reconcile accounts payable bank transactions and maintain accurate A/P aging reports.

    • Review daily bank activity for check and ACH approvals.

    • Reconcile monthly AMEX accounts (both vendor and employee cards).

    • Manage and reconcile petty cash.

  • Reporting & Compliance: Support monthly close activities by meeting all invoice vouching deadlines and assisting with financial report preparation.

  • Collaboration: Partner with cross-functional teams to uphold quality standards, enhance processes, and contribute to a culture of continuous improvement, safety, and respect.

  • Recordkeeping: Maintain organized on-site A/P records in compliance with company policies and audit requirements.

  • Other Duties: Perform local business travel as needed and other related responsibilities as assigned.


Qualifications & Skills:

  • Proficiency with accounting software and Microsoft Office (especially Excel).

  • Ability to manage multiple priorities in a fast-paced environment.
