Job Title:         Operations Assistant
Ministry:        Operations

Reports to:    Director of Operations
Status:              Full-Time, Exempt

 

 

 

The Operations Assistant serves as the administrative right-hand to the Director of Operations, helping to ensure that the day-to-day operational and logistical functions of the church are executed with excellence, efficiency, and a servant-hearted attitude. This individual will play a vital role in calendar oversight with significant coordination between ministries, vendor coordination, internal workflow management across departments.

 

Key Duties and Responsibilities:

 

  1. Church Calendar Oversight and Coordination
  • Maintain and input events, meetings, and Memorials into the church-wide master calendar through the church’s Church Management Software: OneChurchSoftware (OCS)
  • Work as the OCS Church Calendar “Gatekeeper” to anticipate, monitor, and resolve OCS calendar conflicts.
  • Ensure smooth workflow and effective communication between the Event support departments (Facilities, Hospitality, Communications, Media).
  1. Operational Workflow Support
  • Collaborate with key ministries and facility leaders to streamline communication and execution of projects and campus activities.
  • Monitor completion of tasks tied to facility usage, room setups, and overall cleanliness of the main campus and auxiliary  rented spaces
  • Monitor and report on service requests in the MaintenanceCare.com software.
  1. Vendor and Partner Relationship Management
  • Support the Director of Operations in managing vendor relationships.
  • Coordinate with the church’s Accounts Payable role to ensure General Liability and Workman’s Compensation insurance is current and meets requirements
  • Maintain vendor and external service provider records, contracts, warranties, etc.
  • Work with Office Equipment providers to manage day-to-day maintenance, repair, and support issues.
  • Serve as a liaison between church staff and vendors when necessary.
  • Assist with Vendor accounts payable, voucher preparation, and check distribution
  1. Administrative and Clerical Duties
  • Provide administrative support for the Director of Operations and in the absence of the Director of Operations speak on his behalf.
  • Maintain Youth Protection training records and report on status for staff and volunteers
  • Maintain the church’s exterior door key log in coordination with HR
  • Work with Director of Operations and various Ministries to develop, document, and enforce church policies and procedures
  • Maintain a log and report on required annual inspections and maintenance (e.g. elevator, fire extinguishers, fire alarms, etc.)
  • Update Government documents as required, (e.g. Corporate documents via Sunbiz.org)
  • Organize, secure, and maintain the church’s historical records and files
  • Provide back-up to Office Receptionist
  • Provide Back-up to Technology Administrator

 

  1. Procurement
    • Work with the Director of Operations to facilitate and maintain best pricing and terms for the church’s purchases, contracts, leases, etc.
    • Coordinate with Accounting to develop and maintain the church’s Asset Replacement and Inventory schedules and budgets
  1. Resurrection Garden & Memorial Service Coordination
  • Manage the administrative oversight of the Resurrection Garden, including meeting with families interested in purchasing niches and coordinating the timely engraving of plaques.
  • Work with Pastoral Team to input Memorial Services into OCS calendar as well as coordinate directly with the various support ministries on the Service details.
  • Provide quarterly reporting to Resurrection Garden Board of Trustees 

Qualifications:

  • A heart for serving in a church environment, aligned with the mission.
  • Proven experience in administrative, operations, records management, project coordination roles.
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal skills.
  • Familiarity with church operations or related fields (facilities, communications, events) is a plus.
  • Proven written and oral communications proficiency, Spanish is a plus
  • Discretion and professionalism with confidential information.
