Answer and direct incoming phone calls with exceptional professionalism and customer service

Greet and assist tenants, clients, vendors, and office visitors

Open/close office daily (manage lights, equipment, and secure doors)

Maintain cleanliness in common areas including kitchen, copy area, and main traffic spaces

Unload dishwasher daily and support general kitchen upkeep

Receive, sort, and distribute incoming mail

Order office and building supplies as needed
-
Prepare and issue maintenance work orders (internal and external)

Assist with onboarding of new properties and tenant coordination
-
Coordinate property setup and property transitions
-
Maintain physical and electronic tenant, vendor, lease, and building files
-
Create new files and update records as necessary
-
Request and update tenant emergency contacts
-
Place tenant collection calls and issue late/default notices when directed

Coordinate vendor services, billing setup, COI updates, licenses, and W-9 records
-
Set up or discontinue utility services when instructed
-
Support vendor work coordination and property manager reporting
-
Assist with annual meetings, agendas, and meeting minutes
-
Print and distribute Aged Receivables and late fee reports
-
Access and generate reporting through internal accounting software
-
Provide administrative project support to internal staff as needed
