Qualifications
Education
- High School Diploma or equivalent required
Required Experience & Skills
- Minimum of 3 years of professional work experience
- Intermediate proficiency in Microsoft Office (Outlook, Excel, Word)
- Strong organizational skills with attention to detail
- Professional appearance and demeanor at all times
Preferred Qualifications
- 2+ years of front desk, administrative, or team support experience
- Experience with Salesforce, MLS, HubSpot, and PowerPoint
- Background in sales, real estate, hospitality, or construction is a plus
- Demonstrated ability to proactively solve problems and support operations
- Valid driver’s license with ability to run occasional business-related errands
Physical Requirements
- Ability to sit for extended periods of time
- Ability to lift and carry up to 15 pounds
Position Summary
The Front Desk & Sales Support Coordinator plays a critical role in supporting the Sales Team and ensuring smooth day-to-day office operations. This position serves as the first point of contact for clients and visitors, delivering a high level of customer service while maintaining an organized, efficient, and welcoming environment.
This individual contributes to team success by providing administrative, operational, and hospitality support, while consistently upholding company core values of Quality, Teamwork, Respect, Commitment, and Integrity.
Key Responsibilities
Administrative & Sales Support
- Provide administrative support across departments including Sales, Construction, Marketing, Customer Service, and Operations
- Accurately enter and maintain client and broker data in HubSpot
- Manage co-broker registrations, ensuring proper documentation and timely tracking of expirations
- Maintain both electronic and physical filing systems
- Assist with coordination of events, including preparation of materials and attendee tracking
- Prepare and distribute front desk schedules and communicate assignments to team members
- Troubleshoot office equipment and coordinate issue resolution as needed
- Support team members with timely and accurate completion of tasks
Reception & Client Experience
- Serve as the first point of contact, greeting all visitors in a professional and welcoming manner
- Ensure phones are answered promptly and directed appropriately
- Coordinate front desk coverage to maintain consistent service
- Provide refreshments and maintain cleanliness of hospitality areas
- Build professional rapport with clients, prospects, and partners
- Deliver a concierge-level experience that reflects the company’s brand and standards
Purchasing & Inventory Management
- Monitor and maintain office supply inventory
- Order supplies through approved vendors as needed
- Organize and store incoming supplies to ensure easy access and efficiency
Facilities & Office Operations
- Open and close the office in accordance with established procedures
- Maintain the cleanliness, appearance, and overall condition of all public areas
- Set up and support audiovisual equipment and showroom presentation needs
- Ensure kitchen and common areas are clean and functional, including managing dishwasher use
- Maintain weekly maintenance reports for the Sales Center and model homes
- Ensure storage areas remain organized and well-maintained
