Position Title: Purchasing Manager

Department: Procurement / Supply Chain
Reports To: General Manager / Operations Director
FLSA Status: Exempt

Salary: Starting at $70k Annually

Schedule: Monday - Friday Day Shift (Hybrid work schedule potential for the right candidate outside of the Ocala area)

Position Summary

The Purchasing Manager is responsible for planning, directing, and coordinating all purchasing activities for a building and maintenance product supplier specializing in appliances, plumbing, hardware, window blinds, cabinetry, flooring, electrical components, and related items. This role ensures optimal inventory availability, competitive pricing, reliable vendor relationships, and efficient purchasing operations to support both internal operations and customer demand.

Key Responsibilities

Procurement & Inventory Management

  • Develop, implement, and manage purchasing strategies that ensure cost-effective procurement and uninterrupted product availability.
  • Maintain appropriate inventory levels across all product categories, including appliances, plumbing supplies, hardware, electrical components, cabinetry, flooring, and window coverings.
  • Monitor stock levels and place purchase orders based on sales forecasts, historical data, lead times, and upcoming project needs.
  • Oversee receipt of goods, resolve discrepancies, and ensure accurate documentation.

Vendor & Supplier Management

  • Source, evaluate, and negotiate with suppliers to secure favorable pricing, terms, and product quality.
  • Build and maintain strong relationships with distributors, manufacturers, and service providers.
  • Conduct regular vendor performance reviews based on pricing, product quality, fill rates, reliability, and customer service.
  • Identify and qualify new suppliers to support business growth and product line expansion.

Cost Control & Budgeting

  • Analyze cost structures and market conditions to ensure competitive pricing and maximize profitability.
  • Assist in annual budget preparation, cost forecasting, and inventory planning.
  • Evaluate opportunities for bulk purchasing, volume discounts, and long-term supplier agreements.

Operational Efficiency

  • Develop and refine purchasing processes, procedures, and best practices for efficiency and accuracy.
  • Collaborate with warehouse, sales, and customer service teams to support operational needs and resolve product issues.
  • Ensure that product specifications, substitutions, and alternatives meet company standards and customer requirements.
  • Maintain accurate and up-to-date records, including purchase orders, contracts, pricing agreements, and SKU data.

Compliance & Reporting

  • Ensure compliance with company policies, industry regulations, and safety standards.
  • Prepare purchasing reports, cost analyses, vendor evaluations, and inventory performance metrics.
  • Oversee warranty claims, returns, and defective product resolutions.

Qualifications

Education & Experience

  • Epicor / P21 Experience REQUIRED
  • Bachelor’s degree in supply chain management, Business, or related field preferred.
  • 3–5 years of purchasing or supply chain experience, ideally within building materials, maintenance supplies, hardware, or related industries.
  • Demonstrated experience managing multiple product categories and complex supplier networks.

Knowledge & Skills

  • Strong understanding of building and maintenance products (appliances, plumbing, hardware, electrical, flooring, cabinetry, blinds, etc.).
  • Excellent negotiation and vendor relationship management skills.
  • Strong analytical and problem-solving abilities.
  • Proficiency with purchasing and inventory management software (ERP/MRP systems).
  • Strong attention to detail and organizational skills.
  • Ability to manage priorities in a fast-paced environment.
  • Strong communication and interpersonal skills.

Physical Requirements

  • Ability to sit, stand, and walk for extended periods.
  • Occasional lifting of products or boxes up to 25–40 lbs.
  • Ability to work in an office and warehouse environment as needed.

Work Environment

  • Standard office environment with regular interaction in warehouse and supplier facilities.
  • Occasional travel to vendor sites, trade shows, or industry events.
