Bookkeeping Clerk / Administrative Assistant

 

  • Pay Rate: $20–$25 per hour
  • Schedule: Monday–Friday, 9:00 AM–5:00 PM (with occasional evenings or weekends as needed)
  • Location: Ocala, FL (On-site)

 

Position Overview:
We are seeking a highly organized and detail-oriented Bookkeeping Clerk / Administrative Assistant to support daily office operations and financial processes. This role is ideal for someone who thrives in a fast-paced environment, can manage multiple priorities, and is comfortable working independently with minimal supervision.

This position focuses on internal administrative coordination, bookkeeping, and real estate transaction support, including permits, contracts, and closings. The ideal candidate will be proactive, efficient, and capable of anticipating needs while maintaining accuracy across tasks.

 

 

Key Responsibilities:

  • Perform day-to-day bookkeeping functions, including accounts receivable (AR) and accounts payable (AP)
  • Maintain accurate financial records using QuickBooks (training provided as needed)
  • Assist with tracking payments, notes, and financial documentation related to closings
  • Coordinate and manage permits, contracts, and closing documentation
  • Schedule and track real estate closings, working closely with title companies, vendors, and internal teams
  • Support internal office administration, including filing, document management, and record keeping
  • Create and maintain spreadsheets and basic reports
  • Facilitate communication and coordination between departments and external partners
  • Ensure all documentation is accurate, complete, and properly filed

Qualifications:

  • Prior administrative and bookkeeping experience required
  • Experience with accounts receivable and accounts payable processes
  • Familiarity with QuickBooks or similar bookkeeping software preferred
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience in real estate, title, construction, or related industry strongly preferred
  • Experience with real estate transactions and closings is a plus
  • Must be able to pass a drug test and background check
