Job Title: Legal Assistant/Intake Specialist

Location: Stuart, FL
Job Type: Full-Time
Reports To: Chief Operating Officer

Schedule: Monday- Friday 8am-5pm

Salary: $45k-50k  

 

Position Overview

Express Employment Professional is seeking a highly organized, detail-oriented, and client-focused Legal Assistant to provide essential administrative and office management support For one of our local clients in Stuart, FL. This candidate would be assisting their attorneys and paralegals. This position plays a critical role in ensuring the daily operations of our legal practice run smoothly and efficiently.

The ideal candidate will bring excellent communication skills, a strong sense of confidentiality, and the ability to multitask in a dynamic legal environment. You’ll be responsible for a wide range of administrative duties—from managing phones and scheduling appointments to supporting client communications and maintaining organized legal documents.

Key Responsibilities

Client & Visitor-Focused Tasks

  • Answer and screen incoming calls and emails; direct them appropriately.
  • Handle prospective client inquiries and conduct initial intake when necessary.
  • Greet clients, guests, and staff with professionalism and warmth.
  • Maintain a clean, organized, and welcoming reception area.

Administrative Support

  • Sort, date-stamp, distribute, and process all incoming and outgoing mail and deliveries.
  • File and manage client documents and correspondence systematically.
  • Support attorneys, paralegals, and other team members with clerical and administrative tasks.
  • Maintain inventory of office supplies and refreshments; place orders as needed.
  • Schedule appointments, manage the Firm Owner’s calendar, and reserve meeting spaces.
  • Assist with the preparation of meeting materials and firm marketing folders.
  • Deposit escrow checks and verify wiring instructions per firm protocol.
  • Support Intake Specialist with CRM updates (e.g., Lawmatics), email campaigns, and related systems.
  • Draft and maintain SOPs for assigned projects.

Education & Experience

  • Preferred: Bachelor’s degree in Business Administration, Behavioral Science, Data Management, or related field
  • Required: High school diploma with at least 2 years of experience in a receptionist or administrative role
  • Proficient use of standard office equipment and software
  • Typing speed of at least 70 WPM
  • Marketing experience or knowledge is a plus
