Position Overview:
Express Employment Professionals is seeking a detail-oriented and highly organized Part Time Operations Manager to oversee day-to-day operations within the Investment Division for a well-established financial services firm in Stuart, FL This multifaceted role is ideal for a professional with experience in financial services operations, brokerage account processing, compliance tracking, and general office management.
The Operations Manager will support both the investment and administrative functions of the office, ensuring accuracy, compliance, and client satisfaction in a fast-paced environment. Experience with QuickBooks, Pershing brokerage systems, and securities compliance is highly desirable.
Key Responsibilities:
Investment Division Support

Open and maintain brokerage accounts with Pershing.

Process ACAT transfers, annuity applications, and 1035 exchanges.

Facilitate trading activity in stocks, bonds, ETFs, and mutual funds.

Monitor and maintain the securities blotter, gift logs, CE logs, and compliance documentation.

Manage client account funding, cash transfers, and documentation workflows.

Maintain and distribute product brochures and approved sales literature.

Support advisors with research, trade execution, and account management.

Serve as a point of contact for client inquiries related to statements, transfers, and account activity.
Compliance & Reporting

Ensure timely and accurate logging of all compliance records.

Maintain detailed correspondence logs, including gift and CE records.

Assist in preparation of audits and adherence to internal and regulatory guidelines.
Administrative & Bookkeeping Functions

Maintain accurate QuickBooks records and support payroll processing.
-
Perform monthly reconciliations and prepare P&L reports.

Track and process premium and escrow payments to insurance companies.

Manage office supply inventory and vendor coordination.

Maintain backup systems and oversee computer/server upkeep.
Qualifications:
-
Prior experience in financial services, brokerage operations, or investment firm back office required.

Proficiency with QuickBooks and general bookkeeping/accounting tasks.

Experience working with Pershing, or similar brokerage platforms preferred.

Familiarity with ACAT transfers, securities transactions, and compliance logs.

Excellent attention to detail, organizational skills, and ability to multitask.

Strong interpersonal and communication skills for client and internal interactions.

Proficiency in Microsoft Office Suite (Excel, Outlook, Word).

Ability to manage sensitive information with confidentiality and professionalism.
