Role Description

We are seeking a detail-oriented and customer-focused Customer Service Representative for a Chemical Manufacturer company in SW Chicago. In this role, you will serve as the primary point of contact for customer orders, managing the entire order process from initial receipt through documentation, production coordination, billing, and follow-up. The ideal candidate will have strong organizational skills, excellent communication abilities, and a dedication to customer satisfaction.

 

Key responsibilities

  • Answer incoming calls and address customer email correspondence professionally and efficiently
  • Follow up on customer orders to clarify details and confirm price and lead time
  • Enter and code customer orders received via phone and email into our ERP system
  • Prepare and distribute necessary documentation for production staff to fulfill orders
  • Maintain and update the daily log of shipped orders for tracking and reporting purposes
  • Proactively follow up on pending orders to resolve any issues related to pricing confirmation, material availability, or other potential delays
  • Process billing for completed shipments in a timely and accurate manner
  • Assist with digital filing of order documentation within the ERP system
  • Help maintain accurate customer information and records in the database
  • Monitor customer ordering patterns and conduct follow-up communications with customers who haven't placed orders recently

 

Qualifications

  • High school diploma or equivalent required; Associate's degree preferred
  • 1-2 years of customer service experience, preferably in a manufacturing environment
  • Strong computer skills with proficiency in Microsoft 365 suite
  • Excellent verbal and written communication skills
  • Strong attention to detail and organizational abilities
  • Great presence on the phone and ability to build relationship with customers via both email and phone interactions
  • Ability to multitask and prioritize in a fast-paced environment
  • Problem-solving skills and ability to work independently
