Operations Manager Job Summary:

A local non-profit organization is seeking a Sr. Assistant to the CEO to join its team on a short-term full-time basis. The Sr. Assistant will provide high-level administrative support to the CEO, coordinating travel, scheduling meetings, and assisting with various organizational tasks. This role requires an individual with strong organizational skills, the ability to maintain confidentiality, and a deep commitment to the organization’s mission. The ideal candidate will have a heart for service and a passion for contributing to the success of a purpose-driven, community-focused organization.

 

Operations Manager Responsibilities:

  • Manage the CEO's calendar, including scheduling meetings, appointments, and events.
  • Coordinate domestic and international travel arrangements, including booking flights, hotels, and transportation, ensuring cost-effectiveness and efficiency.
  • Prepare and organize materials for meetings, ensuring executives are well-prepared and informed.
  • Assist in managing communication with internal and external stakeholders, acting as a liaison when needed.
  • Provide general administrative support, including document preparation, filing, and correspondence.
  • Support project management efforts by tracking timelines, deadlines, and deliverables.
  • Assist with event planning, hosting and coordination for both internal and external functions.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Contribute to the smooth functioning of the organization’s office and operations as needed.

Schedule & Pay:

  • Schedule: Full-time, 9am-5pm M-F but varies for meetings and events on weekends
  • Pay: $23-$27/hr., Depending on Experience.

Operations Manager Qualifications:

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • College degree preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities with attention to detail.
  • Ability to handle sensitive and confidential information with integrity.
  • High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • A commitment to the mission, values, and community focus of the organization.
  • Flexible, proactive, and able to work independently as well as part of a team.
  • Willing to do any task asked of them to add to the success of the organization.
