Office Coordinator Job Summary: 

A growing manufacturing company in the Grand Rapids area is seeking a highly organized and detail-oriented Office Coordinator to support daily operations within their facility. This role plays a key part in coordinating orders, supporting production documentation, assisting with purchasing and billing processes, and maintaining accurate records within the company’s ERP system. The ideal candidate enjoys working in a fast-paced environment, is comfortable with data entry and computer systems, and thrives in a role that supports multiple teams across operations, sales, and production.

Office Coordinator Responsibilities:

  • Processing customer orders and entering information into the ERP system
  • Preparing batch tickets and production documentation
  • Creating and organizing shipping paperwork for outbound orders
  • Closing out completed orders and maintaining accurate system records
  • Supporting purchasing activities including placing purchase orders
  • Confirming product deliveries and updating order status
  • Receiving invoices and processing billing documentation
  • Scanning and submitting invoices and documentation to corporate accounting
  • Maintaining spreadsheets and administrative records
  • Communicating with vendors and internal teams regarding orders and deliveries
  • Supporting production scheduling and documentation needs
  • Providing general administrative support for the operations and office team

Schedule & Pay:

  • Monday-Friday, 8am - 4:30pm 
  • $20-$21/hour

Office Coordinator Qualifications:

  • Minimum of 2 years of administrative, office support, billing, or order processing experience
  • Previous experience in a manufacturing or production environment
  • Strong data entry and typing skills (min of 8,000 KSPH)
  • Comfort working with ERP systems and learning new software
  • Proficiency using Microsoft Excel and general office software
  • Strong attention to detail and organizational skills
  • Ability to manage multiple responsibilities in a fast-paced environment
  • Strong communication and problem-solving skills
  • Ability to work effectively within a small team environment
