Job Summary: We are seeking a dedicated Patient Services Coordinator to join a wonderful team. This position is responsible for performing day-to-day administrative and general office duties within the clinic. As the first point of contact for patients, the Patient Services Coordinator will assist them throughout their visit, ensuring a welcoming and efficient experience.
Essential Duties:
- Perform essential office duties including word processing, filing, faxing, data entry, and managing phone calls.
- Greet patients, clients, and visitors, determining the purpose of their visit and directing them to the appropriate personnel or department.
- Facilitate patient flow and communicate any delays to both patients and clinical staff.
- Process and track medical records releases and requests, understanding when patient signatures are required.
- Correlate and document outgoing specialty referrals and appointments.
Job Duties:
- Obtain insurance referrals and prior authorizations for appointments.
- Provide exceptional customer service via phone and in-person interactions.
- Schedule patient appointments and update demographic information in the EHR system.
- Answer phone calls professionally and route them appropriately.
- Maintain confidentiality and follow clinic safety policies.
- Collect co-pays and explain financial requirements to patients.
- Create and maintain chart-based medical records.
- Monitor office supplies and ensure the reception area is organized and tidy.
- Collaborate with staff to improve referral processes and efficiency.
- Perform other duties as assigned.
Qualifications:
- Ability to perform essential job duties with or without reasonable accommodation.
- Must demonstrate proficiency in each essential duty satisfactorily.
Education & Experience:
- High School diploma or GED equivalent.
- Minimum of 1 year of experience in customer service or reception, preferably in a medical office setting.
- Ability to type at least 45 WPM and operate a 10-key calculator by touch.
- Coursework in medical terminology is preferred.
Certificates, Licenses, and Registrations:
- Current BLS Certification or willingness to obtain within 90 days of hire.
