About the Role
a global manufacturer of Light Rail Vehicle equipment—is seeking a detail‑oriented Office & Sales Administrator to support our growing team. In this role, you’ll manage key administrative functions, assist the Accounting and Sales departments, maintain accurate records, process orders, communicate with customers, and help keep our office operations running smoothly. This position requires strong organizational skills, multitasking abilities, and excellent communication.
Job Highlights
- Review vendor billing discrepancies and coordinate resolutions with clients, service providers, and internal teams
- Maintain accurate customer records and update information as needed
- Work closely with the Bookkeeper to ensure smooth transfer of accounting information
- Prepare customer offers, process orders, and support Sales and Account Management
- Assist in resolving order discrepancies and enhancing client satisfaction
- Manage daily office operations including phone calls, emails, and greeting visitors
- Organize and maintain company files, records, and documentation
- Handle and manage customer Return Material Authorizations (RMAs) from start to finish
- Schedule appointments, coordinate meetings, and support company events
- Maintain office supply inventory and place orders when needed
- Assist with domestic and international logistics; prepare and pack shipments
- Perform additional administrative tasks and special projects as assigned
What We’re Looking For
- High school diploma or equivalent; associate or bachelor’s degree preferred
- 3–5 years of administrative experience in a small business environment
- QuickBooks Online experience required
- Strong analytical and problem‑solving abilities with excellent attention to detail
- Proficient in Microsoft Office Suite; SAP experience is a plus
- Excellent verbal and written communication skills
- Ability to manage multiple tasks and meet deadlines in a fast‑paced environment
- Proactive and able to solve problems with minimal oversight
- Team‑oriented and professional with strong customer‑service skills
- Ability to climb stairs and lift up to 30 lbs
