Position Overview
The Office Manager plays a key role in coordinating daily office operations, supporting leadership, ensuring internal compliance, and maintaining accurate records across multiple departments. This role requires strong analytical skills, professionalism, and the ability to mentor other team members.
You’ll be the central point of communication and organization—helping ensure everything in the business runs efficiently.
Responsibilities
Office Operations & Administrative Support

Greet visitors and answer incoming calls; provide excellent customer service

Coordinate maintenance for office equipment and phone systems

Maintain filing systems (production reports, revenue files, legal/land files, well files, etc.)

Monitor, refill, and organize office supplies and common areas
-
Assist with travel arrangements, itineraries, logistics, and required documentation
Compliance, Reporting & Regulatory Duties

File monthly production and regulatory reports
-
Assist with government agency filings and internal compliance requirements

Maintain payroll records and distribute paychecks
Accounting Support (AP/AR, Revenue, JIBs)

Receive, code, and enter invoices; process payments

Reconcile vendor accounts

Process JIBs, revenue statements, and deposits

Track note payments, amortization schedules, and financial documentation
Insurance & Property Coordination

Maintain insurance records across multiple entities
-
Coordinate with insurance providers to ensure accurate and current policies
-
Maintain registrations and records for company vehicles and trailers
-
Assist with property management tasks, rentals, vendors, and contractors
Hospitality, Property, and Booking Coordination

Manage booking calendars across multiple rental platforms

Coordinate inquiries, payments, and guest communication

Ensure no double bookings and maintain updated schedules

Support hunting reservation logistics, quotes, hunter paperwork, and deposit tracking

Assist owners with after-hours issues as needed (occasionally nights/weekends/holidays)
Team Leadership & Collaboration

Mentor and support office staff

Improve systems, processes, and workflows

Collaborate across departments to ensure smooth operations

Notarize documents (if certified or willing to obtain)

Ability to manage complex tasks and prioritize efficiently

Excellent communication skills and professionalism

Experience in office management, accounting support, scheduling, or compliance preferred

Compensation & Schedule

Up to $100,000 per year, depending on experience

Monday–Friday schedule
