Job Full Description
Our client, a full‑service hospitality management company is seeking a proactive and detail‑driven Associate Management Administrator.
The AMA serves as the primary liaison between the Hotel and Association Management Company’s administration and operations teams, association client owners, and their Boards of Directors. This role ensures effective communication, tracks compliance, and supports board operations by providing timely intelligence on management performance, owner satisfaction, and project status. The AMA coordinates actionable feedback between Boards and management, maintains documentation, and supports annual scheduling and governance activities while ensuring compliance with applicable laws and regulations.

Administrative Support
- Maintain summaries of Association CCRs, Bylaws, Resolutions, and policies.
- Stay informed on relevant federal, state, and local HOA regulations.
- Track compliance and monitor resolutions and amendments.
- Schedule and prepare for board meetings, ensuring all deliverables are compiled.
- Attend board meetings, record minutes per Robert’s Rules of Order.
- Draft and review resolutions and policies for compliance.
- Provide regular reports to boards and manage owner communications.
- Support insurance renewals, budget proposals, tax returns, and annual reserve studies.
- Collaborate across departments to enhance business operations.
Customer Service
- Act as the main resource for boards and management to address needs and resolve escalations.
- Communicate board policies and processes to owners.
- Serve as the final escalation point for owner concerns, ensuring resolution in line with board policies.
- Assist with association owner inquiries and correspondence in collaboration with the service team.
What you need to be successful:
- Proficiency with Microsoft Office (Word, Excel, Teams, Planner)
- Ability to learn property management software, analyze data, and prepare polished reports
Schedule: Monday through Friday from 8:00AM to 5:00PM
