Job Full Description

We are currently hiring a Scheduling Assistant on behalf of a fast-growing production company based in Spokane, WA. This is a temporary/contract position with the potential for growth and long-term opportunity within an organization that values professional development and cross-functional collaboration.

In this role, you will work closely with the Scheduling and Production Planning team to help ensure smooth, efficient workflows between production, sales, and client support. You’ll be a key part of daily operations—prioritizing tasks, monitoring inventory and order statuses, and communicating across departments to support production goals.

Key Responsibilities

  • Support the Scheduling team by managing and re-prioritizing scheduling tasks and activities

  • Maintain clear, real-time communication between Production, Sales, and Client Support

  • Use project management tools (Asana) to track late orders, create dedicated tasks, and update progress

  • Monitor inventory levels of finished goods and production materials to avoid shortages or overstock

  • Assist in data analysis using Excel and pivot tables to sort and prioritize order flow

  • Generate and maintain production KPI scorecards to track and report performance

  • Collaborate across departments—procurement, logistics, sales—for smooth material and information flow

  • Engage with production leads both in person and via Slack, email, or phone

  • Escalate critical issues or late orders following established protocols

  • Contribute ideas for process improvement and operational efficiency

Ideal Candidate Profile

  • 1–2 years of experience in scheduling, production support, operations, or related field

  • Strong communication skills across multiple channels (email, Slack, in-person, phone)

  • Proficiency in tools such as Asana, Salesforce, Excel, and basic inventory systems

  • Highly organized, detail-oriented, and capable of managing shifting priorities

  • Comfortable working in a fast-paced production environment with a strong team-first attitude

  • Ability to analyze data and translate it into actionable tasks and reports

  • Professional, proactive, and eager to contribute to process improvement initiatives
