Job Full Description

Currently seeking a full time Customer Service Representative for a local business specializing in Hydraulic Control Systems for Irrigation, Wastewater, Building and Construction, and Fire Protection.  Candidates need to have prior experience within the industry to be considered with 3 strong years of Customer Service.

 

Pay: $20-$24 

Evaluation to hire

M-F - 7:30am-4pm

 

General Summary: The Sales and Administrative Support Representative maintains and enhances customer relationships by responding to inquiries, providing information and price quotes, resolving problems, and processing incoming orders for goods and services. Additional tasks include handling Return Material Authorization (RMA), Credit Applications, Resale Certificates, Credit Card Authorization requests, and W-9s. The role also involves general office upkeep and supply management.

 

Primary Responsibilities:

  • Answer incoming calls, routing those not handled by the auto attendant.
  • Plan company and employee appreciation events.
  • Arrange drinks, snacks, and meals for trainings and daily activities.
  • Assist with tradeshow coordination.
  • Open and maintain customer Ship To sites by recording account information in ERP system.
  • Verify customer and order information for correctness, checking against Purchase Orders and previously obtained information. Request corrections from customers as needed for accuracy and pricing.
  • Obtain customer details, product numbers, and specifications for purchases, and enter this information into the ERP.
  • Inform customers by Order Acknowledgment (OA), transmitted by email, of order details, such as item number, description, quantity, unit prices, shipping cost and dates, and any anticipated delays.
  • Receive and respond to customer questions and complaints.
  • Review orders for completeness according to reporting procedures and forward incomplete orders for further processing.
  • Work closely with Purchaser/Planner to confirm supply/demand and any backorders.
  • Confer with production, sales, shipping, warehouse, or common carrier personnel to expedite or trace shipments.
  • Check inventory records to determine availability of requested merchandise.
  • Organize and maintain marketing materials inventory.
  • Coordinate employee birthday cakes and cards.
  • Manage office maintenance and cleaning suppliers.
  • Handle miscellaneous errands within the scope of responsibility.
  • Make travel arrangements for employees/visitors as requested.
  • Manage office supplies, including the breakroom.

Required Competencies, Knowledge, Skills, and Abilities:

  • Proficiency in MS Office, Adobe, Office 365, and an ERP system such as Oracle.

Education and Experience:

  • High school diploma or equivalent.
  • Three years of strong customer service experience in a related industry.
