Processing Specialist 

Reports to: Closing Supervisor
Classification: Non-Exempt

Position Overview

We are seeking a detail-oriented Processing Specialist to join our Closing team. In this role, you will be responsible for scheduling signings, assisting the Closing Specialist with file review, identifying potential title issues, preparing affidavits and payoff statements, and coordinating notaries to ensure all documentation is accurate and complete. This position requires strong organizational skills, attention to detail, and the ability to thrive in a fast-paced environment with strict deadlines.


Key Responsibilities

  • Schedule signings and coordinate with notaries, ensuring they have all required documentation.

  • Review closing files and identify potential clouds on title.

  • Contact borrowers, buyers, lenders, sellers, creditors, and agents as needed.

  • Respond promptly to client emails and phone calls.

  • Prepare or order deeds, subordinations, affidavits, and payoff statements.

  • Enter figures on HUD Settlement Statements.

  • Deliver documents to all parties involved in the transaction.

  • Follow up on the recordation of documents.

  • Provide support to the Closing Specialist and assist the team with additional tasks as required.


Qualifications & Requirements

  • Bachelor’s degree or equivalent experience.

  • Minimum 2 years of industry experience in mortgage, escrow, title, or banking.

  • At least 3 years of experience with Microsoft Outlook, Word, Excel, and Adobe Reader.

  • Strong ability to read and interpret documents with accuracy.

  • Excellent communication skills; able to work effectively with internal teams and external partners in high-pressure situations.

  • Strong problem-solving skills with the ability to maximize team collaboration.

  • Exceptional attention to detail, organization, and follow-through.


Physical & Work Environment Requirements

  • Must be able to work on a computer monitor for up to 90% of the day.

  • Frequent communication via email and telephone.

  • Occasionally required to walk, stoop, kneel, or lift/move up to 25 lbs.

  • Fast-paced work environment with strict deadlines.

  • Moderate office noise level.
