Closing Specialist

Department: Operations
Reports To: Operations Supervisor
FLSA Status: Non-Exempt


Position Summary

We are seeking an experienced Closing Specialist to join our Operations team. The Closing Specialist plays a critical role in ensuring smooth closing processes by promptly responding to client inquiries, managing documentation, facilitating requests, and providing proactive communication throughout the closing cycle. This role requires strong attention to detail, organizational skills, and the ability to thrive in a fast-paced, deadline-driven environment.


Key Responsibilities

  • Prepare estimated and signing HUD Settlement Statements (all HUD requests completed within 1 hour).

  • Address funding conditions required by lenders.

  • Work with Central Operations to resolve recording rejects.

  • Run daily trial balances and reconcile funds in trust accounts.

  • Follow up on policy issuance and ensure delivery to clients.

  • Review pipelines to prioritize orders.

  • Perform curative work on non-closable files.

  • Proactively contact clients to check on service levels and request additional orders.

  • Provide information and support to other Title staff as needed.

  • Disburse funds and release cleared documents.

  • Perform additional duties as assigned.


Qualifications

  • Bachelor’s degree and minimum 2 years of industry experience, or High School Diploma/GED with minimum 4 years of industry experience.

  • Minimum 2 years in a client-facing closing role within the escrow industry.

  • Proficiency with Microsoft Outlook, Word, Excel, and Adobe Reader (3+ years).

  • Strong communication skills, both written and verbal.

  • Ability to work effectively in a team environment with diverse colleagues.

  • Strong organizational skills, attention to detail, and customer service mindset.

  • Ability to read and interpret documents, follow detailed instructions, and perform in high-pressure situations.


Physical Demands & Work Environment

  • Must be able to sit and work on a computer for the majority of the day.

  • Frequent communication via phone and email is required.

  • Work environment is typically moderate in noise level but can be fast-paced and deadline driven.
