Position Summary
We are seeking a detail-oriented and customer-focused Records Clerk I to join our Official Records division. This position plays a key role in supporting the recording, processing, and maintenance of public records, while providing courteous and professional assistance to the public. The ideal candidate demonstrates excellent communication skills, accuracy, and dedication to maintaining confidentiality and compliance with Florida Statutes.
Essential Duties & Responsibilities

Greet and assist the public in person and by phone, providing accurate information and friendly customer service.

Process and record a variety of legal documents such as deeds, mortgages, and liens received by mail, electronically, or in person.

Verify documents meet statutory recording requirements; notify customers of any issues prior to recording.

Calculate and collect applicable fees, documentary stamps, and intangible taxes.

Scan and verify document images for accuracy and maintain document sequencing.

Assist with self-service research tools for public access to records, plat maps, and online certifications.

Maintain daily logs, balance cash receipts, and prepare daily reports.

Provide marriage and passport services, including issuing licenses, processing passport applications, and performing ceremonies (if authorized).

Ensure confidentiality and proper handling of protected or redacted documents in accordance with Florida law.

Perform general office and equipment maintenance duties as needed.

Travel between office locations for training or coverage as required.

Perform additional duties as assigned.
Qualifications

High school diploma or GED required.

Minimum of 2 years of clerical, administrative, or records-related experience.

Strong computer skills and ability to type at least 35 words per minute (skills test required).

Excellent written and verbal communication skills.

Strong attention to detail, organizational ability, and sound judgment.

Ability to calculate fees and balance daily transactions accurately.

Prior cashiering or financial transaction experience preferred.

Must maintain confidentiality and handle sensitive information appropriately.

Valid Florida driver’s license required; must be bondable as a Deputy Clerk.
Physical Requirements

Ability to sit for extended periods, operate office equipment, and perform data entry.

Occasionally lift and move items up to 50 lbs.
