Job Title: Community Association Administrative Assistant
Location: Venice, Florida
Schedule: Full-Time | Must be able to work every 3rd weekend (rotating schedule)
Pay: $20–$22 per hour, DOE
Employment Type: Temp-to-Perm
Position Summary:
The Community Association Administrative Assistant provides administrative, operational, and customer service support for a multi-association HOA community. This role works closely with management, homeowners, tenants, vendors, and up to eight (8) HOA sub-association Boards to ensure smooth daily operations, accurate recordkeeping, and effective communication.
Essential Duties and Responsibilities:

Process tenant evaluations and leasing applications

Input and maintain tenant and homeowner records in TekControl and Jenark

Add charges and waive fees on homeowner accounts through Jenark as directed

Scan, save, and organize invoices, contracts, leases, agendas, meeting minutes, and related documents in SharePoint

Prepare and print access credentials for tenants and homeowners

Create and maintain weekly Open House lists

Assist with front desk coverage, including greeting residents and visitors

Answer incoming phone calls and route messages appropriately

Send community-wide eBlasts with updates, notices, and meeting agendas

Order and maintain office and janitorial supplies

Update Association Specification Sheets as needed

Maintain and update daily action lists

Support meetings and technology needs, including Zoom and AV systems

Drive throughout the community to document violations with photographs as needed

Work collaboratively with management and multiple HOA sub-association Boards
Qualifications & Skills:

Strong administrative and organizational skills with high attention to detail

Proficiency with office technology and systems (SharePoint, Zoom, AV systems)

Ability to learn and use property management software (TekControl and Jenark)

Excellent written and verbal communication skills

Professional demeanor with strong customer service skills

Ability to multitask and manage priorities in a fast-paced environment

Valid driver’s license and ability to drive within the community
Work Environment:
Office-based with frequent interaction with residents, board members, and vendors. Occasional driving within the community required.
