The position is responsible for all elements of special events including planning, tracking income/expense, managing the database, auction items and donations. MUST HAVE PREVIOUS EVENT PLANNING EXPERIENCE

OBJECTIVE:
The Manager works closely with the Communications team on producing events. They are responsible for sourcing resources, negotiating, and managing contracts. They are the lead person on-site the day of the event and are ultimately responsible for the delivery of the event. Events may include breakfasts, luncheons, dinners, or evening receptions, both in-person and virtual formats. Morning programming set-up could begin as early as 5am and evening programming could end after 9pm. Position is also responsible for the management of the Women of Influence programs.
SPECIFIC DUTIES AND RESPONSIBILITIES (INCLUDING, BUT NOT LIMITED TO):
- Responsible for drafting pre-meeting/event memo’s detailing proposed venues, room capacity, logistical details needed, and costs.
- Upon approval of memo, responsible for securing venue and necessary logistical details.
- Negotiate contracts for event venues, vendors, and suppliers.
- Serve as the lead in the planning and implementation of all programming including signature fundraising events.
- Staff liaison to the Women of Influence initiatives and programming which includes working with committees and coordinating regular meetings.
- Play a key role in meeting the recruitment, implementation, and revenue goals for each fundraising event. Track member and non-member registrations and provide regular updates to leadership.
- Coordinate event day set-up, registration, and check out.
- Build successful relationships with vendors, event participants, sponsors, and volunteers.
- Work with communications department to promote accurate, consistent event information throughout all event communication channels.
- Provide post event recap including attendance, revenue, and expenditures.
- Use event database to track ticket sales, sponsorships, donations and in-kind contributions.
· Works closely with vendors, volunteers, and other staff to ensure high quality events.
- Assist with procurement, management, and fulfillment of auction items, gift baskets etc...
- Assist with processing thank you letters for identified donors.
- Support the CEO and other department initiatives and projects as needed.
Handles all other duties assigned by leadership.
JOB REQUIREMENTS:
- Bachelor’s degree or equivalent experience in relevant field
- Database experience
- Tech savvy with aptitude for adapting to ever-changing digital platforms
- High level of proficiency in Excel
- Detail oriented
- High level of integrity and confidentiality
- Ability to collaborate with other team members
- Availability to work occasional evenings and weekends
EVALUATION OF JOB PERFORMANCE:
Regular cadence of meetings regarding performance; Bi-annual review.
