Job Full Description
The Maintenance Coordinator is responsible for managing the business’s maintenance division. Strong candidates will come equipped with a full range of knowledge, including but not limited to; general handyman skills, electrical, plumbing, carpentry, dry walling, landscaping, and HVAC. The Maintenance Coordinator must be well versed in vendor and client relations and adhere to strict time schedules. This position will be responsible for timely and complete work to the standards of the Real Property Management Bluegrass organization.
ESSENTIAL RESPONSIBILITIES
- Application and knowledge of general maintenance work and repairs
- Perform and provide exceptional quality work and services
- Perform work in a timely manner
- Schedule, communicate, perform, and invoice Inspections
- Maintain accurate maintenance records including special maintenance addendums, sprinkler lists, yard care lists, warranty lists, asset lists, etc.
- Manage all incoming work orders including scheduling, performing, and invoicing
- Manage and direct operations of the Maintenance Technicians
- Maintain the established customer service standards for both owners and tenants
- Train and develop maintenance team members
- Ensure that business development targets are met
- Ensure the maintenance revenue targets are met
- Ensure that all budgets for the department are met
- Continually plan, refine and redevelop job methods and procedures
- Protect and promote the company culture and morale
- Promptly respond, pursue and resolve customer and vendor issues.
- Explore and develop new business methods and opportunities
- Manage work order service request flow ensuring all service requests are properly maintained in property management software system including notes, documents, vendor invoices received, proper closeouts, etc.
- Manage operation of company maintenance vehicle and maintenance tools
- Assist answering service with after-hours emergency maintenance issues
- Ensure prompt attention is given to Company’s’ Maintenance calls

REQUIREMENTS
- Minimum of five (5) years’ experience in maintenance management or suitable experience in residential repairs
- Ability to prepare, write and communicate effectively with clients, vendors, and staff
- Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations
- Ability to schedule and estimate workers hours and requirements to complete tasks
- Ability to train employees and vendors
- Ability to insure revenue targets are met
- General maintenance and repair knowledge
- Local area knowledge
- Two years’ experience in administrative support
- Intermediate skills in Microsoft Office
- Managing referrals across departments
- Knowledge of the Internet and email
- Basic telephone switchboard knowledge
