We are seeking a highly organized and detail-oriented Receptionist/Secretary to join our dynamic team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires a blend of clerical experience, office management skills, and proficiency in various software applications to ensure efficient operations.
Responsibilities
- Greet clients and visitors warmly, providing a positive first impression of the organization.
- Manage multi-line phone systems, directing calls and taking messages as needed.
- Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
- Handle filing and organization of documents to ensure easy access to information.
- Assist with calendar management, scheduling appointments, and coordinating meetings.
- Provide customer support by addressing inquiries and resolving issues promptly.
- Utilize QuickBooks for basic bookkeeping tasks and financial record keeping.
- Support office management by ordering supplies, maintaining equipment, and ensuring a clean work environment.
- Proofread documents for accuracy and clarity before distribution.
- Collaborate with team members on various administrative projects as required.
Skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Strong typing skills with attention to detail in data entry tasks.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Effective phone etiquette and strong communication skills, both verbal and written.
- Bilingual abilities are a plus for enhancing customer interactions.
- Previous experience as a dental receptionist or medical receptionist is preferred but not required.
- Familiarity with office management practices and procedures is essential.
- Demonstrated customer service experience with a focus on providing support to clients.
- Ability to manage time effectively while meeting deadlines in a fast-paced environment.
