Job Full Description

Receptionist plays a vital role in delivering exceptional customer service to residents, applicants, and visitors. This position involves managing front-office operations, assisting with housing applications, and providing administrative support to ensure efficient service delivery.

Key Responsibilities

  • Front Desk Operations: Greet and assist visitors, answer multi-line phone systems, direct calls, and take messages.

  • Resident & Applicant Assistance: Provide information on housing programs, assist with application processes, and guide clients through required documentation.

  • Document Management: Maintain and organize resident files, process incoming and outgoing mail, and ensure confidentiality of sensitive information.

  • Administrative Support: Schedule appointments, prepare correspondence, and assist with data entry and filing systems.

  • Office Equipment Management: Operate standard office equipment, including computers, copiers, and fax machines.

  • Team Collaboration: Work closely with housing staff to ensure smooth operations and address client needs promptly.

Qualifications

  • High school diploma or equivalent; additional administrative training is a plus.

  • Previous experience in a receptionist or administrative role, preferably in a housing or public service setting.

  • Strong communication skills, both verbal and written.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Ability to handle sensitive information with discretion and maintain confidentiality.

  • Bilingual abilities are advantageous to serve a diverse community.

Physical Requirements

  • Ability to sit for extended periods.

  • Occasional lifting of up to 25 pounds.

  • Frequent use of hands for typing and handling documents.
