Office and Associate Coordinator | Eastgate, OH
1st Shift | $18+/hr, + Bonus Structure
Express Employment Professionals Cincinnati East is now hiring for an Office & Associate Coordinator to fulfill a full-time opening in Eastgate, OH. This is a core role on the team, designed for a candidate with strong attendance, computer proficiency, and a professional and pro-active customer-driven attitude.
The Office & Associate Coordinator will be responsible for creating a positive first impression for all incoming traffic (telephone and in-person), acting as the office hub and host/hostess, ensuring that all administrative activities, incoming calls, and making sure the front office moves smoothly. This role also directly supports the recruitment team through applicant and candidate recruitment and follow-ups.
Core Responsibilities:
Front Office: Once hired, you will learn and focus on learning the overall process from the first point of contact in our office. The functional goal of the front office is to create a welcoming, informative and efficient experience for existing employees, prospective applicants, and client partners. Strong multi-tasking, a 'front-of-house' positive attitude, and computer savviness will be required. Front office focused functions include (are not limited to):
- Daily opening/closing of office space in Eastgate.
- Answering phones.
- Scheduling and greeting candidates and customers.
- Daily management of web application resources.
- Instructing applicants on how to fill out applications.
- Administering drug tests (urine) as needed.
- Collect and process associate information such as direct deposit/payroll information, ID's for I-9's, and medical benefits enrollment forms.
- Data entry.
- Scanning and/or faxing information or documents as needed.
- Filing - hard copy and electronic records.
- Miscellaneous administrative projects as outlined by management.
- Office inventory - maintain supplies inventory and notify management if/when supply ordering is needed.
- General office upkeep and tidiness.
Asociate Coordination Support: On determination that Front Office functions are understood and being applied, this person will join in supporting the recruitment activity. This includes (not limited to):
- Review, filter, and connect with applicants via resumes, online applications, and web board inquires.
- Coordinate with the recruiting team to understand the requirements and qualifications for open position.
- Utilize active recruiting resources (web job boards, local/community recruiting resources to identify and contact qualified candidates.
- Collection, entry and processing of working associate timecards for weekly payroll.
- Management of external communication tools (i.e., inquiries/messaging via social media outlets, web job boards, and text/direct messaging platforms such as Whippy, etc.)
- Coordination and scheduling of associate vetting items, such as drug screens, assignment send-outs, background screening, etc.
- Assist as needed in conducting drug and/or background screening and administering of any skills assessments.
- Contribute to "lead chasing" by monitoring local job boards and resources for new/potential job openings to share with the sales team to pursue.
- Assist as needed in special projects, such as seasonal or temporary client staffing needs, year-end records maintenance, and internal office projects.
Requirements:
- 1-2 years minimum experience in one of the following: fast-paced office or front office environment, front-of-house supervisory/management, or dispatching/scheduling.
- Computer knowledge, including fluency with Microsoft Office products (Outlook, Word, Excel), web browsers, and virtual connectivity tools.
- Preferred additional exposure to/experience with web-based job boards, texting platforms, and scheduling tools.
- Fluency with virtual connectivity tools: internet.
- Strong data entry/typing skills.
- Must have outstanding CSR, multitasking, organizational skills
- Ability to prioritize tasks in a logical and efficient manner
- Outgoing, friendly, and professional personality
- HS Diploma, GED, or equivalent combination of education and experience required
- Reliable personal vehicle/transportation, and ability to consistently and punctually perform all duties onsite in-office (Eastgate, OH).

Pay: $18+/hour starting, based on experience. This role will also be eligible for a team-wide bonus structure, which will average the hourly pay rate closer to $20/hour.
