Job Title: Provider Data Specialist (PDS)

Job Summary:
The Provider Data Specialist (PDS) is responsible for processing data and files related to customers, providers, and billing services. This role serves as the primary contact for Personal Support Workers (PSWs), ensuring accurate and timely setup of new employers and assisting in hiring processes. Additionally, the PDS monitors PSW qualifications and supports them through the timesheet process, maintaining compliance with all relevant regulations. This is a full time position, with a starting wage of $21.22!

Required Qualifications:
Education, Experience, Knowledge, Skills, and Abilities:

  • Proficiency in clerical tasks such as typing, filing, and multi-line phone systems.
  • Education or one year of experience in database management.
  • Experience with Microsoft Excel and Word.
  • Ability to pass a Criminal History Check per state requirements.
  • Valid driver's license and good driving record.
  • Reliable transportation for occasional local and regional travel.
  • Strong communication skills for interacting with individuals with intellectual/developmental disabilities, families, service providers, and staff.
  • Ability to develop trust and rapport with clients, staff, and stakeholders.
  • Experience in alphabetical filing systems.
  • Customer service experience, including answering phones and greeting visitors.
  • Ability to stay calm under stress and handle challenging behavior.
  • Strong multitasking and organizational skills.
  • Attention to detail and ability to maintain accurate records.
  • Confidentiality maintenance and strong writing skills.
  • Ability to provide feedback and review the work of others.
  • Self-motivated with minimal supervision.
  • Ability to lift up to 10 lbs.

Preferred Qualifications:

  • Proficiency in multiple software programs and digital systems.
  • Fluency in Spanish is a plus.
  • Experience with digital filing systems.

Essential Functions:
General Responsibilities (100% of Workload)

  • Uphold ethical and professional conduct standards.

Communication (35%)

  • Greet office visitors promptly and professionally.
  • Answer and direct phone calls, take messages as needed.
  • Manage incoming and outgoing mail.
  • Monitor group mailboxes and respond accordingly.

PSW Support (45%)

  • Authorize payments in the state data system.
  • Facilitate Criminal History Background Checks and assist PSWs.
  • Manage new PSW setup and link them with employers.
  • Enter exceptions to Electronic Visit Verification (EVV) as needed.
  • Assist with Provider Enrollment Agreement Applications (PEAA) and Public Partnership, LLC. (PPL) processes.
  • Oversee provider panel management.
  • Monitor PSW credentials in both internal and state systems.
  • Communicate updates to the PSW community.
  • Maintain and update PSW documentation packets.

PSW Payroll (25%)

  • Route timesheets to Personal Agents.
  • Work with PSWs to correct provider line issues.
  • Authorize PSW payments as needed.
  • Verify processed billings in the state payment system.

Data Processing and Systems (25%)

  • Perform data entry in internal and state data systems.
  • Maintain up-to-date records for customers and PSWs.
  • Close out terminated PSW records.
  • Digitally store customer and PSW records.
  • Process Personal Support Worker terminations and changes.
  • Manage customer enrollment processes.
  • Set up and update Employer of Record (EOR) and Common Law Employers (CLE).

Team and Back-Up Support (10%)

  • Conduct inventory checks and ensure supplies are available.
  • Provide backup support to office staff.
  • Assist with mass mailings and special projects.
  • Maintain office organization and cleanliness.
  • Monitor and maintain office equipment.
  • Assist with conference room scheduling and organization.

Work Environment:

  • Primary work occurs in an office setting with shared workspace and standard office conditions.
  • Occasional travel to community locations may be required.
  • Exposure to all seasonal weather conditions.
  • Transportation of work-related materials, including a laptop, may be necessary.
