Job Full Description
We are seeking an organized, friendly, and professional Automotive Dealership Receptionist to join our team. As the first point of contact for customers, you will play a key role in creating a positive and welcoming experience for everyone who visits our dealership. You will handle incoming calls, schedule service appointments, manage customer inquiries, and assist with various administrative tasks to support the smooth operation of our dealership. Duties:

Greet customers as they arrive at the dealership and direct them to the appropriate sales or service departments

Answer phone calls, respond to customer inquiries, and provide information about vehicles, services, financing options, and dealership promotions

Schedule and confirm service appointments, ensuring all necessary customer and vehicle information is accurately recorded

Process customer payments for vehicle purchases, service repairs, and parts orders, ensuring smooth transactions

Provide customers with accurate information on new and pre-owned vehicle inventory, features, pricing, and financing options

Assist customers with vehicle check-ins for service or repair appointments and ensure all required documentation is completed

Coordinate with the sales and service teams to ensure timely service and delivery of customer vehicles

Maintain an organized, clean, and welcoming front desk and customer waiting area

Assist with filing and updating customer records, ensuring information is accurate and up-to-date

Handle customer complaints or concerns professionally and escalate issues to management as needed

Process warranty and service contracts for customers and provide clear explanations of coverage

Assist with managing dealership promotional materials and ensuring they are up-to-date in the customer waiting area

Support the sales team by handling appointment scheduling, assisting with showroom traffic, and offering administrative assistance as needed

Provide support for special dealership events and promotions to ensure smooth execution

Stay up-to-date with the dealership’s inventory, services, and promotions to offer customers the best information
Preferred Skills:
-
Previous experience as a receptionist or customer service representative, preferably in an automotive dealership environment

Strong communication skills, both verbal and written, with a professional and friendly phone manner

Excellent organizational and multitasking abilities to manage customer inquiries and appointments efficiently

Basic knowledge of automotive products, services, and terminology is a plus

Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with dealership management software is preferred

Strong problem-solving skills and the ability to handle customer concerns or complaints with professionalism

Ability to stay calm under pressure and work effectively in a fast-paced environment

Exceptional customer service skills with a focus on providing a positive experience for every customer

Ability to manage customer data and confidential information with discretion

High school diploma or equivalent required; additional certification or training in customer service or administration is a plus
