Job Description: Dispatcher Assistant

 

SUMMARY:
Performs all functions in accordance with established policies and procedures. Responsible for supporting dispatch and fleet activities, ensuring the efficient operation of daily logistics and communication with drivers, terminals, and customers.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:
The following are the primary duties of this role, which must be performed independently or with reasonable accommodation:

  1. Answer and route incoming calls to the appropriate personnel.
  2. Support dispatchers by preparing and printing bills of lading and marking loads.
  3. Maintain and update daily dispatch sheets, monitoring ETAs for accuracy.
  4. Assist dispatchers in building loads based on available inventory.
  5. Perform daily inventory control between EveryFleet and customer inventory systems.
  6. Monitor Samsara for driver check-ins, sending messages as needed.
  7. Verify driver workflow completion and accuracy.
  8. Communicate with other terminals to ensure timely support and updates.
  9. Maintain communication with assigned drivers, ensuring all inventories under your control are effectively managed.
  10. Update and maintain the EveryFleet system for the terminal to ensure accurate and timely data entry.

KNOWLEDGE, SKILLS, AND ABILITIES:

  1. Minimum of two years' experience in a front office or administrative support role.
  2. Previous experience in logistics, dispatch, or auto-hauling distribution is preferred.
  3. Working knowledge of DOT compliance, laws, and regulations, with a focus on safety practices.
  4. Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  5. Familiarity with Samsara software is a plus.
  6. Exceptional accuracy and attention to detail in data entry and preparation of documents.
  7. Strong problem-solving skills and the ability to adapt quickly in high-pressure environments.
  8. Excellent interpersonal skills to foster positive working relationships with dispatch teams, drivers, and stakeholders.
  9. Effective verbal and listening communication skills.
  10. Ability to manage tasks under time constraints, frequent interruptions, and high-stress scenarios.
  11. Willingness to work more than 40 hours per week when necessary.
