Job Summary:
The Office Administrator is responsible for ensuring the smooth day-to-day operations of the office. This role involves handling administrative tasks, supporting staff and management, maintaining office systems, and assisting with general operational duties. The ideal candidate is organized, detail-oriented, and proactive in maintaining efficiency and professionalism within the workplace.

Key Responsibilities:

  • Manage daily office operations, including correspondence, filing, and supply management.

  • Serve as the first point of contact for visitors, clients, and internal staff.

  • Schedule meetings, appointments, and travel arrangements for team members as needed.

  • Prepare and maintain documents, reports, and presentations.

  • Assist with basic bookkeeping and expense tracking.

  • Support HR processes such as onboarding, record-keeping, and maintaining employee files.

  • Coordinate with vendors, service providers, and building management to ensure smooth operations.

  • Maintain and update office databases, contact lists, and records.

  • Monitor and order office supplies and equipment.

  • Ensure compliance with company policies and health and safety regulations.

  • Provide general administrative support to management and other departments as required.

Qualifications and Skills:

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.

  • Proven experience in an administrative or office support role.

  • Strong organizational and time management skills.

  • Excellent verbal and written communication skills.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) or similar software.

  • Ability to multitask and prioritize effectively in a fast-paced environment.

  • Professional demeanor and strong interpersonal skills.

  • Attention to detail and problem-solving ability.

Work Environment:

  • Office-based position 

  • Standard working hours with some flexibility required for special projects or events.
