Administrative Coordinator – Electrical/Excavation Division
 
Our client is a growing company specializing in petroleum, lubrication, and carwash equipment and services. They work with customers on a variety of projects, including fueling systems, pump repairs, tank upgrades, convenience store equipment, and car wash installations. They are looking to add an Administrative Coordinator to their Electrical/Excavation Division on the east side of Madison.
This is a great opportunity for someone who is organized, comfortable working with multiple projects at once, and enjoys a mix of office administration, scheduling, customer service, and project support.
 
Pay: Up to $24/hour
Schedule: Monday-Friday, 7:00am-4:30pm
Location: East side of Madison, WI
 
Responsibilities:
  • Prepare and submit state and local project permits for work in Wisconsin, Illinois, and Iowa
  • Assist with preparing project quotes and estimates using Excel and support the team with service and installation projects
  • Coordinate installation and service teams, subcontractors, inspections, and project schedules
  • Order and schedule supplies, parts, equipment, and rentals needed for projects and service jobs
  • Maintain organized project documentation and provide field support with manpower, materials, and equipment
  • Complete daily timecard entry, review and update project/service work orders, and process service invoices
  • Assist with project billing, change orders, inventory transfers, project closeout documentation, and weekly reports
Requirements:
  • Previous project coordination, administrative, scheduling, or office experience is preferred but not required
  • Strong organizational skills with the ability to manage multiple projects and deadlines
  • Comfortable working independently while also communicating with field teams, customers, vendors, and internal staff
  • Proficient with Microsoft Excel, Word, and Outlook
  • Strong attention to detail and ability to keep information, paperwork, and schedules organized
  • Customer service and professional communication skills
     
Helpful, but not required:
  • Basic knowledge of AutoCAD
  • Previous experience in construction, electrical, excavation, petroleum, or another related industry
  • Experience with project estimating, permitting, scheduling, or billing
