Job Full Description

The Construction Project Coordinator is responsible for managing the administrative and technical coordination of every residential project from contract execution through construction kickoff. This person will be the operational backbone of each job — researching regulatory requirements, assembling project documentation, sourcing and managing subcontractors, and keeping projects moving on schedule. This is a full-time, in-office position based at our Kenosha, Wisconsin office.

 

Permitting & Regulatory Research

• Research all required permits for each project at the municipal, county, and state level across Wisconsin and Illinois jurisdictions

 

Factory Documentation Coordination

• Request and track floor plan drawings, specifications from the home manufacturer

• Confirm that factory-supplied documents align with permit applications and engineering requirements

• Maintain an organized project file for every job including all drawings, approvals, and correspondence

 

Contracts & Scope of Work

• Develop detailed Scope of Work documents for each trade on the project

• Solicit competitive estimates from subcontractors to support scope documents and project budgeting

 

Subcontractor Management

• Source, vet, and onboard qualified subcontractors across all required trades (excavation, foundation, plumbing, electrical, HVAC, etc.)

• Collect and maintain current copies of subcontractor licenses, certificates of insurance, and any required credentials

• Track renewal dates and follow up proactively to keep compliance files current

• Serve as the primary point of contact for subcontractors during the pre-construction phase

 

Project Scheduling & Tracking

• Build and maintain a project timeline for each job from permit submission through construction completion

• Monitor milestones, flag delays, and communicate schedule updates to ownership and the sales team

• Use project management tools (Monday.com) to keep tasks, documents, and deadlines organized and visible

• Sourcing and credentialing subcontractors

 

Qualifications

• Strong organizational skills with the ability to manage multiple projects simultaneously at different stages

• Ability to read site plans, floor plans, and basic engineering documents

• Solid written and verbal communication skills for working with engineers, municipalities, subcontractors, and clients

• Basic knowledge of Microsoft Office (Word, Excel) and general comfort with cloud-based project management tools

• Self-directed and able to work independently with minimal supervision

• Valid driver's license

 

Work Environment & Expectations

• Full-time, Monday through Friday, based at our Kenosha, Wisconsin office

• Occasional site visits may be required for project assessment or permitting purposes

• Projects span both Wisconsin and Illinois

• Compensation is commensurate with experience; details discussed during the interview process
