Position Overview
We are seeking a detail-oriented Order Processing & Administrative Coordinator to support daily operations including order entry, paperwork organization, and customer communication. The company currently uses QuickBooks and is transitioning to Oracle NetSuite, so experience with NetSuite or strong ERP adaptability is preferred.
This role is ideal for someone who is organized, comfortable working with systems and customers, and able to manage multiple administrative priorities in a structured environment.
Key Responsibilities
- Process customer orders accurately and efficiently
- Maintain and organize digital and physical paperwork/files
- Communicate with customers regarding orders, updates, and general inquiries
- Assist with data entry and system updates during ERP transition
- Support inventory/order tracking and documentation accuracy
- Collaborate with internal teams to ensure smooth order fulfillment
- Maintain accurate records within QuickBooks and upcoming Oracle NetSuite system
Required Skills & Qualifications
- Strong attention to detail and organizational skills
- Comfortable with computers and data entry systems
- Experience with QuickBooks or similar accounting/ERP systems preferred
- Ability to communicate professionally with customers
- Reliable, self-motivated, and able to manage multiple tasks
- Experience with Oracle NetSuite (or other ERP systems) is a plus
- Bilingual abilities — Italian speaking candidates preferred
- Background in order processing, accounting support, or office administration
