Job Summary: The Property Maintenance Administrator is responsible for coordinating and overseeing the maintenance operations for a portfolio of properties. This role involves managing maintenance requests, coordinating with contractors and vendors, ensuring compliance with safety and maintenance standards, and maintaining accurate records. The ideal candidate will be highly organized, detail-oriented, and capable of handling multiple tasks efficiently.

Key Responsibilities:

  1. Maintenance Coordination:

    • Receive, prioritize, and respond to maintenance requests from tenants and property managers.
    • Schedule and coordinate maintenance work with contractors, vendors, and maintenance staff.
    • Ensure timely completion of maintenance tasks and repairs.
  2. Vendor Management:

    • Develop and maintain relationships with vendors and contractors.
    • Obtain quotes, negotiate pricing, and oversee contract agreements.
    • Monitor vendor performance to ensure high-quality service delivery.
  3. Work Order Management:

    • Create and manage work orders in the property management system.
    • Track the progress and completion of maintenance tasks.
    • Ensure proper documentation and record-keeping for all maintenance activities.
  4. Inspection and Compliance:

    • Conduct regular property inspections to identify maintenance needs and ensure compliance with safety standards.
    • Ensure properties comply with local, state, and federal regulations.
    • Address any violations or issues identified during inspections promptly.
  5. Budget and Cost Control:

    • Assist in preparing and managing maintenance budgets.
    • Monitor expenses and ensure cost-effective maintenance solutions.
    • Review and approve invoices related to maintenance work.
  6. Communication:

    • Maintain clear and effective communication with tenants, property managers, and maintenance staff.
    • Provide regular updates on the status of maintenance requests and projects.
    • Address tenant concerns and complaints related to maintenance in a timely and professional manner.
  7. Inventory and Supplies Management:

    • Maintain an inventory of maintenance supplies and equipment.
    • Order necessary supplies and ensure timely replenishment.
    • Track and control inventory usage to minimize waste.
  8. Emergency Response:

    • Coordinate and manage emergency maintenance situations, ensuring quick and effective resolution.
    • Be available for on-call duties as required for emergency maintenance issues.

Qualifications:

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in Business
  • Must be bilingual in Spanish
  • Administration, Property Management, or related field preferred.
  • Minimum of 2 years of experience in property maintenance or property management.
  • Strong knowledge of maintenance procedures, equipment, and safety standards.
  • Excellent organizational and multitasking skills.
  • Strong communication and interpersonal skills.
  • Proficiency in property management software and Microsoft Office Suite.
  • Ability to work independently and as part of a team.
  • Valid driver’s license and reliable transportation.
