Job Title: Administrative Assistant (with Accounting Experience)
Reports to: Property Manager / Regional Manager
Position Summary:
The Administrative Assistant plays a vital support role in the daily operations of a Tax Credit apartment community. This position combines front-office administrative tasks with basic accounting responsibilities, ensuring compliance with affordable housing regulations, particularly those related to the Low-Income Housing Tax Credit (LIHTC) program.
Key Responsibilities:
Administrative Support:

Greet and assist residents, applicants, vendors, and visitors professionally.

Manage phone calls, emails, mail, and office supply inventory.

Maintain resident files and documentation in accordance with LIHTC regulations.

Assist with leasing paperwork, recertifications, and tenant file audits.

Support the Property Manager in daily administrative tasks and communications.
Accounting Duties:

Process rent payments, prepare bank deposits, and post transactions accurately.

Assist with accounts payable/receivable, including invoice coding and vendor follow-up.

Help track and reconcile resident accounts and prepare late notices.

Generate financial reports or spreadsheets as needed.

Support budgeting processes and expense monitoring.
Compliance:
-
Ensure resident files are accurate, complete, and meet Tax Credit program compliance standards.

Assist with data entry for tenant income certifications and annual recertifications.

Stay informed about LIHTC guidelines and support the Property Manager in audits or compliance reviews.
Qualifications:
-
High school diploma or GED required; Associate’s or higher in Business, Accounting, or related field preferred.

2+ years of administrative experience, preferably in property management or affordable housing.

Basic accounting or bookkeeping experience required.

Familiarity with LIHTC compliance and affordable housing programs is a strong plus.

Proficiency in Microsoft Office (especially Excel) and property management software (e.g., Yardi, RealPage).

Strong organizational and communication skills.

Ability to maintain confidentiality and work independently with minimal supervision.
Work Conditions:

Standard office environment within a residential property setting.

May require occasional evening or weekend work during audits, resident events, or leasing deadlines.
