Job Description: Accounts Payable Specialist
Position Summary
The Accounts Payable Specialist is responsible for maintaining and processing daily accounting activities related to accounts payable and cash disbursements. This role ensures timely, accurate payment of invoices, compliance with company policies, and strong support of internal accounting operations.
Key Responsibilities
Accounts Payable Operations

Process daily accounts payable transactions and cash disbursements accurately and on time.

Prepare payment batches and ensure invoices are paid in accordance with company policies.

Maintain check copy files, void checks, and bank register logs for reconciliation purposes.

Receive, review, and verify invoices for accuracy, proper coding, and approval routing.

Record approved invoices for payment and research and resolve aged invoices within the AP system.

Review outstanding accounts payable checks monthly to ensure proper handling of unclaimed property.

Review vendor statements for open credits and past-due invoices and resolve discrepancies.
Reporting, Compliance & Controls

Maintain vendor tax documentation and process annual 1099s.

Create and maintain organized filing systems to support internal controls and external audits.

Perform month-end balancing and assist with month-end reporting and audit reviews.

Copy and maintain construction-related invoices for bond draw documentation as needed.
Process Improvement & Support

Identify opportunities to streamline or automate accounts payable processes.

Process employee expense reimbursements.
-
Maintain thorough knowledge of accounts payable systems and procedures.
-
Provide support to facilities or departments as needed during staff absences.

Perform additional accounts payable duties and special projects as assigned.
