Position Summary
The Technical Operations Administrative Coordinator supports the Technical Operations department by managing documentation, coordinating service logistics, overseeing order processes, and maintaining customer and internal systems. This role plays a key part in ensuring smooth communication between customers, technicians, purchasing, and leadership.
Essential Functions
- Provide direct administrative support to the Technical Operations Manager and department staff
- Create, process, and oversee sales orders for domestic and international shipments
- Generate reports from ERP systems (NetSuite experience preferred) and perform data analysis
- Administer and maintain service/ticketing platform (Freshdesk experience preferred)
- Professionalize and maintain documentation packages, including revision tracking and customer updates
- Coordinate purchasing activities in partnership with internal purchasing team
- Track and manage repair orders from intake through completion
- Coordinate and track customer training (internal and external)
- Format and standardize Standard Operating Procedures (SOPs)
- Manage service and process contract documentation and execution
- Track customer equipment through technical audits
- Schedule preventative maintenance trips for field technicians
- Assist with special projects as assigned
- Occasional driving may be required
Knowledge, Skills & Abilities
- Minimum of 2 years of administrative experience supporting management and/or technical teams
- Strong interpersonal and communication skills with professional phone etiquette
- Experience working with ERP systems (NetSuite a plus)
- Experience with ticketing or service management platforms (Freshdesk a plus)
- High attention to detail with strong organizational and documentation skills
- Proactive problem-solver with the ability to work independently
- Ability to manage confidential information with discretion and professionalism
- Self-motivated and comfortable working in a fast-paced environment
- Valid driver’s license and proof of liability coverage
- High school diploma or equivalent required
