Job Summary

The HR Generalist will play a key role in supporting the human resources department by managing various HR functions, including recruitment, employee relations, performance management, benefits administration, and compliance with labor laws. This position requires a well-rounded HR professional with excellent interpersonal skills and a strong understanding of HR best practices. The successful candidate will serve as a point of contact for employees and management, ensuring a positive workplace culture and promoting a high level of employee engagement and satisfaction.

 

Primary Duties and Responsibilities

  • Oversees new hire orientation; ensures package delivered to new hires, paperwork completed timely, and coordinates orientation meetings. Ensures employees are enrolled in benefits when eligible.
  • Provide administrative support for Non-Union and Union 401k plans for plan service changes, amendments, and other process updates. Set up employee enrollments, verify the accuracy of paperwork, and monitor online employee contribution changes and loan payments. Coordinates with accounting/payroll on the timely execution of deferrals and loan payments within plan rules. Employee records of 401k enrollment and changes are maintained.
  • Assist employees with setting up their online Fidelity 401k portal. Transmit weekly deferral contribution/match file to Fidelity. Perform administrative steps for required compliance procedures such as Non-Discrimination testing, Form 5500, and distribution of Summary Annual Report. Assist with annual benefit audit.
  • Provides Payroll and IT with data for new hires set up in Viewpoint. Coordinates with hiring manager for receipt of necessary hardware and work essentials by employment start date.
  • Set up and maintain required personnel files in a manner that meets company and legal requirements; responsible for electronic filing of employee records to include all records related to employment and benefit enrollments.
  • Support and assist the management team with the review and analysis of benefit plan annual quotes. Coordinate and set up employee meetings and communication of benefits programs including annual open enrollment for medical, dental, and voluntary insurance programs. Follows up with employees to ensure enrollment deadlines are met.
  • Central contact for general HR and benefits assistance and inquiries; answers questions or make referrals to the appropriate entity to handle the situation. Assists employees with FMLA and initiates Short Term and Long Term Disability benefits as appropriate.
  • Administers Company’s performance review program including timely notification to supervisors and follow-up on failure to complete and return forms. Maintains electronic files/database of employee’s completed reviews.
  • Responsible for completion or coordination of annual HR reports to government/employees such as EEO-1, Veterans hiring stats, H & W 5500 reports, annual benefit reports, etc.
  • Problem-solving with managers on employee issues, assisting with discrimination/harassment complaint investigations and ensuring company procedures and policies are followed in corrective action situations.
  • Set up and maintain JH Kelly HRIS systems as required. Maintains group salary history information.
  • Reconciles benefit program weekly payroll deductions; uploads file transfers for flex spending and health savings account funding. Verifies accuracy and submits monthly to AP insurance vendor invoices for payment.
  • Monitors separation process to ensure final pay, deductions, appropriate separation paperwork completed, company property returned and COBRA paperwork is sent out.
  • Oversee the Health and Wellness program. Conduct regular committee meetings to facilitate healthy and fun activities to engage employee participation. Collaborate with the Safety Committee to include information and activities to be published in the monthly safety newsletter.
  • Help administer job postings and recruitment for JH Kelly staff positions. Track and prescreen applications/resumes, forward qualified candidates to hiring managers, set up interviews, and monitor offers & acceptance letters. Arrange for pre-employment testing when required. Maintain applicant tracking via online software process.
  • Assist with executing the Profit Sharing Program.
  • Assist in supporting annual Form 1095 reporting (ACA).
  • Act as a Human Resources subject matter expert.
  • Stay abreast of current HR laws, regulations, and best practices in the states the Company works in and share knowledge with others as applicable.
  • Work with HR and/or Finance to perform additional tasks as assigned.

 

Education and Experience

  • Bachelors Degree in HR Management. Preferred: SHRM-CP, SHRM-SCP, PHR or SPHR.
  • Minimum of five (5) years of experience in Human Resources. Preferred: Experience in training in employee relations, performance management, coaching corrective action procedures and documentation.
  • Experience creating business communications.
  • Experience with employee benefits administration.
  • Hands-on experience and thorough understanding of HR functions and responsibilities, HR rules, and regulations such as EEO, FMLA, ADA, COBRA.
  • Above average proficiency in MS Office tools including Word, Excel, and Outlook.

Physical Requirements

This office position requires the ability to sit for extended periods while working at a computer. Candidates must have the ability to perform repetitive tasks such as typing and using a mouse. Occasional standing, walking, bending, and reaching are necessary. The role also requires good manual dexterity and hand-eye coordination for handling office equipment weighing up to 20 pounds. The ability to communicate clearly and effectively, both verbally and in writing, is essential.
