Hours: Monday - Friday, 6am-2:30pm & Flexible 


Pay: $23.00 -$25.00 /HR

 

Duties:

Office Management:

  • Oversee daily office operations, including facility management, administrative support, and office supply inventory.
  • Manage activities, coordinate internal communications, and maintain both physical and digital filing systems.
  • Organize company events, meetings, and employee engagement activities to foster a productive work environment.
  • Liaise with vendors, service providers, and maintenance teams to ensure the office is safe, efficient, and well-equipped.

Executive Assistance:

  • Provide comprehensive support to the executive team, including managing calendars, arranging travel, and coordinating meetings.
  • Prepare, edit, and distribute correspondence, presentations, and reports with a high level of accuracy and professionalism.
  • Serve as a liaison between executives and internal/external stakeholders, ensuring clear and effective communication.
  • Prioritize and manage multiple projects, adapting quickly to changing priorities and deadlines.

Purchasing:

  • Manage procurement processes for office supplies, equipment, and production-related materials to support business operations.
  • Source, negotiate, and establish strong relationships with suppliers to secure quality products at competitive prices.
  • Monitor inventory levels and forecast purchasing needs, collaborating with cross-functional teams to align supply with demand.
  • Ensure compliance with company purchasing policies and maintain detailed records of all procurement activities.

 

Qualifications:

  • Proven experience in office management, executive assistance, purchasing, or a related combination of roles.
  • Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Strong communication and interpersonal skills to effectively collaborate with team members and stakeholders.
  • Demonstrated problem-solving skills, meticulous attention to detail, and a proactive, results-driven approach.
  • Proficiency in Microsoft Office Suite; experience with procurement and office management software is a plus.
