Accounting Specialist – Accounts Payable
Employment Type: Full-Time
Pay Range: $24.49 – $32.20 per hour
About the Role
The Accounting Specialist – Accounts Payable is responsible for ensuring invoices are processed accurately and payments are made on time. This position supports the day-to-day accounting functions of the Finance Department, including accounts payable, vendor records, check runs, ACH payments, payroll documentation, and year-end reporting.
The ideal candidate is detail-oriented, organized, dependable, and able to manage multiple deadlines while maintaining accuracy and confidentiality.
Key Responsibilities
- Receive, review, code, and enter invoices into the accounting system.
- Process weekly check runs, reports, and ACH payments.
- Maintain accurate vendor records and obtain W-9 forms prior to payment.
- Prepare and process year-end 1099-NEC forms.
- Maintain accurate accounts payable records, logs, checklists, and supporting documentation.
- Assist with payroll documentation and employee record updates.
- Maintain records related to benefits, retirement, and workers’ compensation.
- Process child support and wage garnishment payments.
- Research and resolve invoice and payment discrepancies.
- Communicate with vendors and internal departments regarding invoices and payments.
- Assist with other accounting and administrative duties as needed.
Qualifications
Education & Experience:
- Associate degree in Accounting, Business, Finance, or a related field preferred; OR
- 4 years of accounts payable/accounting experience; OR
- 6 years of qualifying experience.
- Equivalent combinations of education and experience may be considered.
Knowledge:
- Working knowledge of accounts payable and general accounting principles.
- Experience working in a computerized accounting environment.
- Understanding of vendor management, invoice processing, and payment procedures.
Skills:
- Strong attention to detail and accuracy.
- Excellent organizational and time-management skills.
- Accurate data entry and strong computer skills.
- Ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills.
- Ability to maintain confidential information.
