Patient Services Coordinator
Assignment Type: Temporary – Leave Coverage

Schedule: Monday–Friday, 8:00 a.m.–5:00 p.m.
Location: Grants Pass, Oregon
Pay: $20.00–$22.00 per hour
Job Summary
The Patient Services Coordinator provides front-office and patient support in a healthcare setting. This position is responsible for scheduling appointments, coordinating referrals and authorizations, assisting patients and providers, maintaining accurate medical records, collecting copayments, and supporting the efficient day-to-day operation of the clinic.
The ideal candidate will have excellent customer service and communication skills, strong attention to detail, and the ability to work effectively in a fast-paced, team-oriented environment while maintaining patient confidentiality.
Essential Job Duties
- Obtain insurance referrals and prior authorizations for ancillary appointments.
- Provide exceptional customer service to patients, providers, office staff, and other representatives through inbound and outbound calls and in-person interactions.
- Maintain effective and professional communication with patients, coworkers, and supervisors.
- Schedule patient appointments and enter or update patient demographic information in the electronic health record (EHR) system.
- Schedule surgery assistance and special events as needed.
- Answer incoming calls promptly and professionally and route calls appropriately, including offering voicemail or redirecting calls when necessary.
- Maintain confidentiality of patient information, restricted areas, computer systems, and passwords in accordance with clinic policies.
- Explain financial requirements to patients or responsible parties and collect copayments as required.
- Create, update, organize, and maintain paper and electronic medical records.
- Send and receive medical records and obtain patient consent when required to comply with applicable regulations.
- Maintain a clean, organized, and welcoming reception and patient waiting area.
- Monitor office supplies and inventory, place orders, and assist with office equipment as needed.
- Contact patients regarding risk management related to emergency department or hospital visits.
- Identify internal and external challenges related to referrals and assist with developing and implementing processes to improve department efficiency.
- Review referral documentation to ensure required information is complete, accurate, and supports the requested referral.
- Review referral documentation and codes for accuracy.
- Access medical records, insurance information, and limited billing and collection information as needed to provide coverage and support the clinic supervisor.
- Ensure rooms and equipment are clean and properly maintained; assist with laboratory equipment when necessary.
- Maintain proper documentation regarding the release date and recipient of medical records.
- Close and secure the office at the end of the day.
- Provide coverage and assistance for other staff members as needed to ensure efficient daily operations.
- Maintain punctual, regular, and predictable attendance.
- Work collaboratively with team members and maintain a cooperative, professional attitude.
- Follow direction from leadership and complete required training.
- Perform other duties as assigned.
