Position Summany

The Outreach Program Support Specialist II provides administrative and program support to staff within the Support Services Outreach and Peer Support programs. Reporting directly to the Peer Support Supervisor, this position performs a variety of office and program support functions, including data entry, file review and maintenance, program eligibility, scheduling, procedure updates, and responding to phone calls and emails.

The ideal candidate is highly organized, detail-oriented, able to manage multiple priorities, and committed to providing responsive and compassionate service to program participants and community partners.

Essential Duties & Responsibilities

  • Perform and refine administrative duties to support Outreach and Peer Support programs.
  • Enter accurate information promptly into multiple databases and systems as required.
  • Assemble, organize, and maintain files and reference materials in accordance with established procedures.
  • Conduct documentation and file reviews to identify and correct data errors.
  • Update program policies and procedures as directed by the Outreach Manager and Peer Support Supervisor.
  • Process and review program applications accurately and promptly according to established program procedures.
  • Schedule and coordinate front desk responsibilities.
  • File, maintain, and securely shred documents in accordance with established procedures.
  • Coordinate with other departments and community agencies to provide referrals for programs and services, maximizing available resources for participants.
  • Respond to phone calls and emails from individuals seeking Outreach and Peer Support services.
  • Schedule appointments for Outreach staff as requested.
  • Maintain accurate records of Outreach contacts and activities as requested.
  • Promptly return calls received through the Outreach team phone line and respond appropriately to inquiries.
  • Run reports from the case management system and communicate data accuracy concerns to the supervisor.
  • Work closely with Outreach intake and program support staff to develop effective walk-in service delivery and coordinate office outreach efforts.
  • Complete other duties and special projects as assigned by the Outreach Program Supervisor.

Position Requirements

  • Commitment to the organization's mission and dedication to helping individuals and families access essential community resources and services.
  • Minimum of one year of experience in a client-focused field.
  • Ability to multitask, prioritize responsibilities, and maintain sustained concentration with strong attention to detail.
  • Strong interpersonal, written, and verbal communication skills.
  • Demonstrated ability to work effectively with clients, coworkers, community partners, and other departments while maintaining confidentiality.
  • Ability to work independently as well as collaboratively within a team.
  • Minimum of six months of demonstrated administrative, organizational, and record-keeping experience.
  • Excellent computer skills, including proficiency with Microsoft Office products and web-based applications.
  • Valid Oregon driver's license with a driving record that meets organizational insurance requirements.

Preferred Qualifications

  • Bilingual in English and Spanish preferred.
