Job Description: Front Desk & HR Assistant
Front Desk & Administrative Duties
Schedule & Attendance
Hours of Operation: Ensures the front desk is operating promptly from 7:00 a.m. to 5:00 p.m.
(Monday through Thursday) and 7:00 a.m. to 4:00 p.m. (on working Fridays).
Front Desk Duties

Ensures the front desk is operating from 7:00 a.m. to 5:00 p.m. (Monday–Thursday) and 7:00 a.m. to 4:00 p.m. (working Fridays).

Answers telephone calls, transfers lines, and serves as the first point of contact for StoveTop FireStop (STFS) customers.

Provides general information regarding company address, directions, fax numbers, website, and product/ordering details.

Greets vendors, job applicants, customers, and other visitors.

Handles incoming/outgoing mail, calculates postage, and coordinates periodic mass-mailings.

Tracks orders and maintains inventory for office and building supplies.

Maintains a neat and organized front desk, lobby, and mailroom.

Handles all company travel arrangements on a timely basis.

Assists Accounts Receivable with invoicing and helps with general administrative tasks or projects as needed.
HR Assistant Duties

Maintains the Omnify training database: adds new hires, removes terminated employees, assigns training by position, monitors completion, and escalates non-compliance to the HR Manager.

Maintains EEO records and updates recruiting tracking spreadsheets.

Performs data entry into HRIS, timekeeping systems, ERP, and Excel spreadsheets.

Collaborates with the HR Manager on onboarding (scheduling orientation, paperwork, benefits enrollment).

Coordinates with the HR Manager and payroll administrator to terminate employees in company and benefit systems.

Assists the HR Manager with various departmental projects and tasks.
