Position Summary
The Office Assistant is responsible for providing advanced administrative and operational support to ensure the efficient day-to-day functioning of the office. This role serves as a key resource for coordinating office activities, supporting leadership and staff, managing administrative processes, and maintaining a professional and organized work environment. The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple priorities with minimal supervision.
Key Responsibilities
- Provide comprehensive administrative support to management and various departments.
- Coordinate daily office operations to ensure efficiency and effective workflow.
- Manage calendars, schedule meetings, coordinate conference rooms, and arrange travel as needed.
- Prepare, edit, and distribute correspondence, reports, presentations, and other business documents.
- Maintain and organize confidential electronic and physical records in accordance with company policies.
- Serve as a primary point of contact for employees, clients, vendors, and visitors, providing exceptional customer service.
- Coordinate office supply purchasing, inventory management, and vendor relationships.
- Assist with invoice processing, expense reporting, purchasing activities, and other administrative financial functions.
- Support onboarding activities for new employees, including workspace preparation and administrative documentation.
- Coordinate company meetings, training sessions, and employee events.
- Identify opportunities to improve administrative processes and office procedures to enhance operational efficiency.
- Ensure compliance with company policies and maintain a safe, organized, and professional office environment.
- Assist leadership with special projects and other operational initiatives as assigned.
- Handle sensitive and confidential information with the highest level of discretion and professionalism.
Qualifications
Education
- High school diploma or equivalent required.
- Associate's or bachelor's degree in Business Administration or a related field preferred.
Experience
- Three or more years of administrative, office coordination, or executive support experience.
- Demonstrated ability to manage multiple priorities in a fast-paced professional environment.
- Experience supporting managers, executives, or cross-functional teams preferred.
Required Skills
- Strong organizational, planning, and project coordination skills.
- Excellent verbal and written communication abilities.
- Advanced proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
