Job Title: Accounts Payable Clerk

Position Overview:

The Accounts Payable Clerk will be responsible for managing all aspects of the company’s payables process, ensuring timely and accurate payment of vendor invoices, with a focus on produce-related inventory transactions. This role requires close attention to detail, accuracy in data entry, and strong communication with vendors and internal departments. The ideal candidate will thrive in a fast-paced environment and have prior experience in produce, food distribution, or a similar industry.

Key Responsibilities:

  • Review, verify, and process invoices for produce purchases, freight, and operational expenses.

  • Match purchase orders, receiver tickets, and invoices for accuracy, resolving any discrepancies.

  • Ensure produce invoices reflect correct pricing, quantities, and quality adjustments.

  • Prepare and process weekly check runs, ACH payments, and wire transfers.

  • Maintain accurate vendor records and ensure all W-9 and compliance documentation is up to date.

  • Reconcile vendor statements and research any outstanding credits or issues.

  • Communicate with suppliers and internal departments (procurement, receiving, and inventory) to resolve invoice or payment discrepancies.

  • Assist with month-end closing, including accruals and AP reporting.

  • Maintain organized electronic and physical files for audit readiness.

  • Support accounting team with special projects and reporting as needed.

Qualifications:

  • High school diploma or equivalent required; Associate’s degree in Accounting or related field preferred.

  • 2+ years of accounts payable experience, preferably in produce, distribution, or manufacturing.

  • Proficiency in Microsoft Excel and accounting software (e.g., QuickBooks, Sage, NetSuite, or similar).

  • Strong attention to detail and accuracy.

  • Excellent organizational and time-management skills.

  • Ability to communicate effectively with internal teams and vendors.

  • Understanding of produce terminology, pricing, and inventory systems a plus.
